The type of personal information we collect

We currently collect and process the following information for our fee status support service

  • Student’s date of birth, nationality/ies
  • Student’s education and qualification details
  • Parental contact details, nationality/ies, connections with the UK, travel details
  • Parental residential history and employment details.

Please Note: We take our students and families at their word and do not require any personal documentation to be sent to us so please do not send passports,  birth certificates, work contracts, e-tickets.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you in our online form, via email correspondence or verbally, for one of the following reasons:

Fee Status Appraisal:

We use the information that you have given us to assess the strengths and weaknesses of your case for Home fees when applying to UK universities. With this we help you establish your chances of success and identify the most important factors to your case so that universities can make timely and accurate decisions following your UCAS application.

University Application Support:

We use this information to counsel you on the best UK higher education options for you based on the student’s interest, academic profile and pastoral needs.

Who uses your personal information

UK Study Options staff members will use your information to provide you with a service. UK Options colleagues may use your data to complete administrative tasks.

We will only share your information with university staff when assessing fee status with your express permission in writing. For us to liaise with university fee status teams on your behalf we need you to write directly to each university identifying us and giving our name and contact details so that we can discuss your case with them.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  1. a) Your consent. You are able to remove your consent at any time. You can do this by contacting hello@ukstudyoptions.com
  2. b) We have a vital interest.
  3. c) We need it to perform a public task.
  4. d) We have a legitimate interest.

How we store your personal information

Your information is securely stored on our shared drive and a temporary copy is downloaded to our work laptops at the time of advising you.

We keep your information on file until the student’s entry date to university so we are able to advise you on your fee status case up to that point. We will then dispose of your information by deleting it from our shared drive and any copies on our work laptops in keeping with the ICO and GDPR UK guideline. Should you wish us to dispose of your information before this time, please let us know in writing and we will confirm that it has been destroyed.*

*Please note, if you require Fee Status Support after we have destroyed your information, we may require you to provide us with a copy of your information again and this may incur a fee of £100.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
